Webflow vs. Squarespace: Publishing Workflows, Selling Costs and Portability
Documentation checked October 5, 2026. Documented platform boundaries are sourced. Selection criteria and example project briefs are HRL analysis, not hands-on tests.
For a portfolio or content-led business, choose the workflow the future editor can operate, not just the first design they like. HRL would first investigate Squarespace for a project organised around a clearly defined set of pages and a manageable publishing routine. We would first investigate Webflow when the project needs a deliberate CMS structure and a team ready to maintain it.
Those are selection hypotheses, not ease-of-use scores. We have not run timed editor tests. Ask the intended editor to complete a representative change in each candidate before treating either as the easier option.

Portfolio brief or structured publishing brief?
A designer’s portfolio might need project pages, enquiries and occasional product sales. Demonstrate adding a project, replacing images, checking the page on a phone and routing an enquiry. Record whether the owner can repeat that work without a developer.
A multi-location organisation might need locations, people, service categories and case studies linked together. Demonstrate the structure with a small real content sample, including a record that belongs in more than one context. Check what editors change once and what they must duplicate manually.
| Decision | Evidence to collect | Cost or ownership implication |
|---|---|---|
| Content model | Representative records and relationships publish correctly. | Price the chosen CMS features and implementation. |
| Editor workflow | The intended operator completes a routine update. | Assign training or ongoing support where needed. |
| Design changes | A new content item behaves on desktop and mobile. | Identify the person who maintains layout rules. |
| Enquiries and selling | Records, messages and purchases reach their destination. | Include the required service and payment costs. |
| Handover | Business access and billing are documented. | Avoid an unexplained dependency on a contractor account. |
Compare complete bills before annual commitments
Use our Webflow pricing guide and Squarespace pricing guide for dated plan references. Record the exact plan family and billing selection; older Squarespace plans and Webflow’s changing Site lineup should not be silently substituted for current purchases.
Webflow’s plan guide separates individual Site publishing from Workspace features, including export entitlement. In a complete budget, price the required combination, seats and add-ons. For either platform, include domain renewal, email, implementation and every external service the brief requires.
Content sales need a product-type check
Squarespace’s fee schedule distinguishes processing charges from platform transaction fees that depend on plan and product type. A download, course or member-content purchase can belong to a different schedule. Match the actual product and payment mix before estimating charges.
For Webflow, name the intended ecommerce or external selling solution and obtain its own complete quote. A content Site subscription alone does not establish that all checkout, recurring access or delivery requirements are included. HRL has not verified an account-specific commerce package for either platform here.
If store operations drive the project, widen the shortlist using Squarespace versus Shopify or Shopify versus WooCommerce. Content presentation and fulfilment are separate acceptance decisions.
Squarespace exports selected content
Squarespace’s site-export documentation describes an XML file for certain WordPress-compatible content. It excludes store pages, style settings, custom CSS and other items. That is a content transfer route, not a complete portable website design.
HRL recommends preserving the original media, important URLs and business records separately. Ask the destination developer to identify what will be imported, rebuilt or replaced before canceling the old site. Treat stored records and a working destination as separate deliverables.
Webflow’s code export has different limits
Webflow’s export documentation describes code and assets while excluding hosted CMS, ecommerce, forms, search and password protection as functioning exported services. A separately saved collection file does not recreate those services.
Use the builder export guide to inventory missing functions. Give enquiries and protected material their own destination checks. Keep domain and mail ownership separate using the email-preserving move guide.
Check the handover with the person receiving it
A polished agency demonstration does not establish that the client can maintain the site. Ask the receiving editor to update a page, add the intended content type and identify who changes shared design elements. Record the necessary role and ongoing help. For portability, inspect representative exported content against the intended destination; partial exports need a rebuild plan for the omitted functions.
Choose with the future editor in the room
Approve a shortlist using the demonstrated content workflow, complete invoices, account owners and exit requirements. The person who builds the first version and the person who updates it every week may need different access and support.
Document that arrangement with the business handover checklist. For another builder comparison, read Webflow versus Wix; for independent application hosting, read Webflow versus WordPress.
