Web Hosting With Email Included: Mailboxes, Trials and Real Cost

Illustrated Web Hosting With Email Included cover featuring HRL editor Avery Stack

Web hosting with email included can cover everyday mailboxes at your own domain, but “included” needs a time limit and a feature list. Check whether the service remains part of the hosting plan, expires after a trial, or is a separately billed product. Then compare mailbox storage, sending limits and the cost for your actual team.

A plan that lets you create an email address at your own business domain is useful. It is less useful if you discover three months later that every employee now has a paid subscription you forgot to budget for.

Included mailboxes are only one part of website email. Compare business mailboxes, transactional messages and marketing email, then use the WordPress delivery checklist to verify website notifications.

Two documented examples: included service and an email trial

SiteGround: complimentary email with usage limits

SiteGround’s email policy describes complimentary email on eligible plans and allows an unlimited number of email accounts. For a shared hosting plan, those accounts together can use up to 10 GB of the plan’s total space. Unlimited account count therefore does not mean unlimited mailbox storage. Confirm the email inclusion on the exact plan you are buying.

Its policy positions the service for normal communication, with separate services suggested for heavier business use and bulk marketing. Read our SiteGround review and SiteGround pricing analysis alongside the email policy before deciding on the whole package.

DreamHost Web Hosting: three free months, followed by paid email

DreamHost’s Web Hosting overview lists 20 mailboxes on Launch, 40 on Growth and 60 on Scale during the first three months. It says a paid email plan is automatically added afterward to continue service. Treat this as an introductory email offer, even if the website hosting itself is prepaid for a longer term. Older DreamHost products may have different inclusions.

Our DreamHost pricing page separates the hosting offer snapshot from a dated email-cart example. That example does not establish the price for every mailbox, region or billing choice. Use the actual email line item in your own order when budgeting.

Work out the cost for mailboxes, not email addresses

A mailbox stores mail and normally has its own login. An alias sends another address to an existing mailbox. Forwarding routes mail elsewhere. A team may need three actual mailboxes and ten aliases; it may also need ten separate users with private access. Those are different requirements and can produce very different bills.

Ask whether aliases, shared addresses and additional domains count toward the allowance. Verify how much storage each user gets and whether the allowance is pooled. Then write down the charges for the first year and a normal later year.

A simple email-budget example

This is an illustration, not a provider quote: suppose three mailboxes cost $2 each per month after a three-month trial. If they are billed monthly, the remaining nine months cost 3 × $2 × 9 = $54 in year one. A full later year costs 3 × $2 × 12 = $72. If the provider bills a whole year at trial expiry, the cash invoice is $72 at that point instead. The rate alone does not tell you the payment date.

Add that email cost to hosting, domain renewal and other required services in our hosting cost calculator. Keep an unknown email renewal charge marked unknown until the provider confirms it.

When bundled email fits—and when to keep it separate

Bundled email can suit an owner-operated website with ordinary correspondence and modest storage needs. One account for hosting and mail may make setup simpler. Check the support scope and how to export your messages before choosing on convenience alone.

A separate email service deserves a closer look when mail must keep working through a web host change, or when your team needs shared calendars, account administration, security controls or retention features. Compare those capabilities directly; an included mailbox is not automatically equivalent to a complete business productivity suite.

For a migration, map the website and email services separately. Changing web hosting does not require moving email at the same time. Our email-safe website migration guide explains which DNS records need care.

Can included email send your newsletter?

Do not treat an ordinary mailbox allowance as permission to send a subscriber newsletter. Read the host’s sending limits and acceptable-use policy. Subscriber campaigns need an appropriate email marketing service and their own unsubscribe and consent handling. Website form notifications also need a delivery configuration that matches the site’s email setup.

What to ask before buying

  • Is email included for the whole hosting term or only an introductory period?
  • How many real mailboxes do we need, and how are aliases counted?
  • What are the storage, attachment and sending limits?
  • Does a paid subscription start automatically, and when is its first invoice?
  • Can we export messages and keep mail running if we move the website?
  • Who helps with mailbox setup, DNS and failed delivery?
